Quick Start Guide

Welcome to QuickPlanX, your powerful and intuitive partner for project management on macOS, iOS, and iPadOS. Designed for the Apple ecosystem, QuickPlanX offers a seamless, native experience to help you plan, track, and manage your projects with precision.

At its core, QuickPlanX is a manual-first planning tool. It empowers you, the project manager, to define your project's structure, schedule, and dependencies. Your data is securely stored and synced via iCloud, ensuring it's always up-to-date and accessible across all your devices.

This guide will walk you through the essentials to get you up and running.

1. Creating Your First Project​

Getting started is simple. You can create a project from scratch or import data from other applications.

To create a blank project:

  1. Open QuickPlanX to the Welcome window.
  2. Click the + icon on the toolbar.
  3. Select "New Project".

A new, empty project will be created, ready for you to start adding tasks.

QuickPlanX also supports importing from various file formats, including MS Project (.xml), Mind-Map (.opml), and legacy QuickPlan files (.qpp).

2. Setting Up Your Project​

After creating a project, you can configure its settings. Customize the currency, standard resource rates, link types, calendars, and more to fit your project's specific needs.

3. Building Your Task List​

Once your project is created, the next step is to add tasks. QuickPlanX offers flexible ways to build your task list, from adding them one-by-one to importing them in bulk.

The most common way is to use the input area at the bottom of the task list in the Table View:

  • Add tasks sequentially: Type a task name and press Return to create it.
  • Create a sub-task: Start the task name with a space to make it a child of the task above it.
  • Add tasks in bulk: Paste a multi-line list of tasks. Each line will become a separate task, and you can use spaces to define the hierarchy.

4. Structuring Your Project​

A well-structured project is easier to manage. QuickPlanX provides two key ways to organize your tasks:

  • Task Hierarchy: You can organize tasks into logical groups by indenting and outdenting them to create a work breakdown structure (WBS). Learn how to manage task hierarchy →
  • Task Linking: Create dependencies between tasks to define their relationships. For example, you can set one task to begin only after another is completed. Learn how to link tasks →

5. Printing and Sharing​

Easily share your project progress. Export your plans to PDF, Image, or CSV files for printing or sharing with your team and stakeholders.
